Set Up Your Coaching & Service Businesses

Learn how to organize your coaching or service-based business inside FEA Create using pipelines, subscribers, calendars, invoices, documents, and contracts.

FEA Create gives you all the tools you need to organize and manage your coaching or service-based business in one place.

When you’re working with clients, it can quickly become overwhelming trying to keep track of who is at which stage, what needs to happen next, what invoices have been sent, which contracts are signed, and what appointments are booked.

In this tutorial, we’ll walk you through the key tools you can use inside FEA Create to keep your client journey organized from start to finish.


What You’ll Be Using

The main tools you’ll use to manage your coaching or service-based business inside FEA Create are:

  • Pipelines to track your client journey

  • Subscribers to manage your contacts and client details

  • Calendars to schedule discovery calls, coaching calls, and client sessions

  • Invoices to request payments

  • Documents and Contracts to send agreements for signing

Together, these tools help you create a smooth, professional experience for your clients while keeping everything organized behind the scenes.


What Do You Need Before You Set This Up?

Before setting up your coaching or service-based client journey inside FEA Create, make sure your domain, client portal, and email marketing are already set up.

This helps ensure your links, client access, emails, invoices, contracts, and automations work smoothly when you start sending people through your process.


Step 1: Set Up Your Pipeline

Pipelines give you a visual overview of your client journey.

You can use pipelines to track where each person is in your sales or delivery process, from becoming a lead to becoming a client and eventually completing their time working with you.

Inside your pipeline, you might have stages such as:

  • Lead Gen Freebie Downloaded

  • Discovery Call Booked

  • Invoice and Contract Sent

  • Work in Progress

  • Testimonial Requested

  • Completed

Each stage represents a step in your customer journey.

For example, someone might first enter your world by downloading your freebie. Then they may book a discovery call, receive an invoice and contract, become a paying client, move into the delivery stage, and later be asked for a testimonial.


How to Create a New Pipeline

To create a new pipeline:

  1. Go to Pipelines

  2. Click to create a new pipeline

  3. Give your pipeline a name

  4. Add the stages you want to track

  5. Save your pipeline

Once your pipeline is created, you’ll be able to view it inside Opportunities and move contacts between each stage.

You can move contacts manually by dragging them from one stage to another, or you can use automations to move people through the pipeline automatically.


Step 2: Manage Your Contacts in Subscribers

Your Subscribers tab is your CRM inside FEA Create.

This is where you can view anyone who has:

  • Filled out a form

  • Downloaded a freebie

  • Purchased from you

  • Responded to a DM campaign

  • Booked a call

  • Shared their contact details with you

When you click into a subscriber’s profile, you’ll get a full overview of your relationship with that person.

You can see:

  • Contact information

  • Tags

  • Forms, surveys, and quiz submissions

  • Automations they are part of

  • Pipeline stage

  • Courses and community groups they have access to

  • Past emails and communication

  • Pages they have visited

  • Tasks

  • Notes

  • Appointments

  • Documents and contracts

  • Payments, subscriptions, invoices, and estimates

This gives you one central place to keep track of each client and their journey with your business.


Step 3: Add Contacts to Your Pipeline

You can add someone to a pipeline directly from their subscriber profile.

To do this:

  1. Go to Subscribers

  2. Click on the contact’s name

  3. Find the pipeline or opportunity section

  4. Add them to the correct pipeline

  5. Select the stage they should be placed in

You can also move contacts between pipeline stages manually inside the pipeline view.

For example, once a client signs their contract, you could move them from Invoice and Contract Sent into Work in Progress.


Step 4: Use Tasks and Notes to Stay Organized

Inside each subscriber profile, you can create notes and tasks for that client.

This is especially helpful when you’re having client calls, onboarding sessions, or coaching conversations.

You can use notes to record:

  • What you discussed on a call

  • Client goals

  • Important updates

  • Next steps

  • Follow-up reminders

You can use tasks to remind yourself to:

  • Send a follow-up email

  • Check in with the client

  • Send a resource

  • Prepare for the next session

  • Request a testimonial

Any tasks you create can also appear on your main FEA Create dashboard, so you can keep track of your daily follow-ups.


Step 5: Set Up Your Booking Calendars

Booking calendars allow clients to schedule appointments with you.

You can create calendars for different types of calls, such as:

  • Discovery calls

  • Coaching calls

  • Client check-ins

  • Onboarding calls

  • Review calls

  • Consultation calls

To create a booking calendar:

  1. Go to Calendar Settings

  2. Create a new calendar

  3. Choose the type of booking you want to create

  4. Name your calendar

  5. Choose who on your team can take the booking

  6. Set your availability

  7. Save your calendar

Once your calendar is saved, you’ll receive a booking link you can share with clients.


Types of Calendars You Can Create

Inside FEA Create, you can create different calendar types depending on how your business works.

Personal Bookings

Use this for one-to-one appointments.

Class Bookings

Use this if you want multiple people to book into the same session.

Round Robin Bookings

Use this if appointments should be distributed between different team members.

Collective Bookings

Use this if more than one team member needs to attend the same booking.


Calendar Settings to Customize

When setting up your booking calendar, you can customize:

  • Calendar name

  • Logo

  • Description

  • Team member availability

  • Meeting location, such as Zoom, Google Meet, Microsoft Teams, phone, or in person

  • Available days and times

  • Buffer time before and after bookings

  • Minimum scheduling notice

  • How far in advance people can book

  • Maximum number of bookings per day

  • Forms attached to the booking

  • Payment settings

  • Confirmation and reminder emails

  • Cancellation and rescheduling options

  • Calendar design

This helps you control your availability and create a more organized booking experience.


Step 6: Use Forms With Your Booking Calendar

You can attach forms to your booking calendar so clients can answer questions when they book.

This is useful if you need information before the call, such as:

  • What they need help with

  • Their goals

  • Their website link

  • Their business details

  • Questions they want to cover

  • Anything you need to review beforehand

Forms can be created inside the Websites and Funnels area using the Form Builder.


Step 7: Send Invoices

The Payments tab is where you can manage anything related to money.

If you want to take payments through FEA Create, make sure your payment processor is connected first.

Inside the Payments area, you can create:

  • One-time invoices

  • Recurring invoices

  • Estimates

  • Invoice templates

To create an invoice:

  1. Go to Payments

  2. Open Invoices

  3. Create a new invoice

  4. Add your client’s contact information

  5. Add your product or service

  6. Add tax if needed

  7. Add a payment schedule if needed

  8. Add your terms, conditions, or notes

  9. Preview the invoice

  10. Send it by email or text

When your payment processor is connected, your invoice will include a payment button so clients can pay directly from the invoice.


Invoice Settings

Inside your invoice settings, you can customize:

  • Business information

  • Sender name and email address

  • Default terms and notes

  • Invoice layout and colors

  • Payment settings

  • Product settings

  • Reminder emails

  • Billing custom fields

  • Client notifications

  • Team notifications

You can also record manual payments if someone pays you by bank transfer, cash, or another method outside of FEA Create.

Recording the payment stops the system from continuing to chase the invoice.


Step 8: Create and Send Documents or Contracts

Inside the Payments tab, you’ll also find Documents and Contracts.

This is where you can create and send contracts, agreements, proposals, or other documents for clients to sign.

You can:

  • Start from scratch

  • Use an existing PDF

  • Add your logo

  • Add text

  • Add images

  • Add videos

  • Add tables

  • Add product lists

  • Add payment options

  • Add text fields

  • Add date fields

  • Add initials

  • Add checkboxes

  • Add signature fields

This allows you to create polished, professional documents and collect client signatures inside FEA Create.


Step 9: Add Recipients and Send Your Contract

When your document or contract is ready, add your recipients.

You can also set a signing order if multiple people need to sign the document.

For example:

  1. Client signs first

  2. Team member signs second

  3. You sign last

Once your contract is ready, you can:

  • Save it

  • Preview it

  • Send it by email

  • Share it with a direct link

You’ll also be able to track whether the contract is still a draft, has been sent, has been completed, or has received a payment.
